Adolfson & Peterson Construction, one of the nation’s top contractors, is recruiting for an experienced Office Manager for our Soutwest region based out of Tempe. Key Accountabilities of the role include:
+ Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
+ Manage the front desk.
+ Field all incoming phone calls.
+ Greet and direct clients, owners, architects, subcontractors, and team members who enter the building.
+ Check in/out all office team members.
+ Update jobsite and telephone listings.
+ Ensure that the front office area presents a professional company image.
+ Process and administer all outgoing mail and deliveries, including UPS, FedEx, and courier services.
+ Distribute incoming mail and deliveries to office team members.
+ Distribute faxes for incoming and outgoing information.
+ Coordinate new hire intake and processing; ensure that documentation and paperwork is compliant.
+ Resolve escalated phone calls and walk-ins as needed.
+ Establish and/or update policies and contracts with office supply vendors, couriers, and mail/package vendors to achieve best pricing, efficiencies, and value.
+ Keep apprised of current and upcoming projects in order to manage internal and external communications effectively.
+ Provide administrative support for the office as time permits –design, create, assemble, and distribute regional communication materials; file, copy, and fax documents.
+ Collaborate with regional team members in management of AP sponsored meetings or events.
+ Manage office services and supplies; ensure that rooms are organized, stocked, and professional.
+ Manage schedules for regional office facilities.
+ Other duties as assigned.
+ History of experience and proven results including:
+ High school diploma or equivalent and 4+ years of office manager experience; bachelor’s degree preferred.
+ Experience working in the A/E/C industry preferred.
+ Advanced skills with Microsoft Office including Word, Excel, and PowerPoint.
+ Demonstrated integrity and ethical standards.
+ Developed skills (written, oral, and listening) in order to effectively communicate with diverse audiences.
+ Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.
+ Excellent interpersonal skills with the ability to build successful and lasting relationships.
