We are looking for a Receptionist to join our team in Phoenix. This role is responsible for welcoming all employees, clients, and guests positively, and executes all administrative tasks to the highest quality standards.

A high level of integrity and discretion in handling confidential information, and professionalism in dealing with leaders (at and outside nFocus) is important, as is the ability to be flexible and change direction seamlessly. This role completes complex tasks and projects quickly with little guidance, reacts with appropriate urgency to situations that require a quick turnaround, and wants to take on varied and exciting new projects and learn new skills.

You will…

+ Greet and welcome staff, clients, and guests as soon as they arrive at the office, with a positive, helpful attitude.

+ Direct visitors to the appropriate person and office as applicable.

+ Answer, screen, take messages and forward incoming phone calls.

+ Ensure reception area is tidy and presentable, with all necessary supplies.

+ Maintain office security by following safety procedures and controlling access via the reception desk. Help ensure doors are locked as applicable.

+ Scan, Fax, Copy anything and everything.

+ Organize and maintain the storage, printer room, and conference rooms.

+ Order and stock office supplies.

+ Pick up, sort, and distribute daily mail/deliveries.

+ Prepare, coordinate all outgoing mail via FedEx or USPS.

+ Ensure conference rooms are ready and prepared for meetings throughout the day. Clean and sanitize between meetings.

+ Organize, execute, and assist with team activities (meeting agendas, order lunch, etc.)

+ Maintain cleanliness of inside of fridge – throw away expired or forgotten foods, schedule/perform semiannual sanitation.

+ Purchase, manage and send scanners to clients.

+ Print and mail invoices to clients and update CRM.

+ Performing ad-hoc administrative duties as requested.

You have…

+ 1+ years of administrative/receptionist experience

+ Bachelor’s degree or equivalent experience

+ Expertise in forward-thinking, proactive support, and planning

+ Exceptional attention to detail and strong problem-solving skills

+ Integrity

+ Punctual and Reliable

+ Flexible and adaptable to change.

+ Highly motivated, a self-starter

+ Competency in Microsoft applications including Word, Excel, and Outlook.

+ Good time management skills to prioritize and complete a variety of tasks throughout the day.

+ Able to contribute positively as part of a team, helping with various tasks as needed.
