Job Description

Provides high-level administrative assistance to the NAU Yuma Dean/Campus Executive Officer in a confidential and discretionary manner. Provides employee support to the faculty and staff of NAU Yuma. Works with the Dean and department chairs to support the goals and objectives of NAU Yuma and coordinate campus activities with the library, student services, advising and IT. Supervises the front office staff and is responsible for hiring, firing, training, and evaluating these staff members. Administers faculty, staff, and student searches for NAU Yuma in compliance with state and university hiring practices and procedures. Serves as the HR liaison for Yuma personnel and acts as the liaison between NAU Yuma, NAU Online, NAU Flagstaff, Arizona Western College (AWC), Imperial Valley College (IVC), and other universities/colleges. Represents NAU at Yuma community events and joint AWC/NAU functions and committees in a professional and cooperative manner. Coordinates creation of marketing materials to promote the Yuma campus. Manages facility and building maintenance requests for NAU Yuma.

Administrative Support to Dean - 25%

• Provides high-level administrative support to Yuma Dean/Campus Executive Officer while maintaining confidentiality and discretion regarding sensitive Yuma business and files.
• Works with Dean on Yuma developmental activities, Yuma strategic plan, campus projects and reports, and research information on university policies and procedures.
• Assists in development of strategies to increase student enrollment and enhance the student experience at NAU.
• Maintains Dean's schedule and arranges meetings with NAU executives, community leaders, AWC and IVC executives and Yuma faculty/staff.
• Coordinates logistics for the Yuma Advisory Board, serves on the Yuma Executive Committee, and coordinates meetings with students (grade appeals, conferences).
• Ensures timely processing of signature requests (faculty overload, grade changes, adjunct faculty level increases, etc.).

Employee Support - 20%

• Provides employee support to Yuma faculty and staff.
• Ensures accurate and timely entry of information pertaining to employee personnel actions into the university computer system while maintaining confidentiality.
• Maintains Yuma personnel files and ensures confidential record retention of those documents.
• Provides backup assistance to the Yuma Financial Oversight Analyst.
• Maintains purchasing card and assists with travel and purchasing requests for the NAU Yuma personnel.

Campus Administration - 15%

• Works with the Dean and department chairs to support NAU goals and objectives.
• Coordinates Yuma Branch campus activities with the library, student support services, advising and IT personnel.
• Administers Yuma Curriculum Committee (YCC) documents and coordinates meetings.
• Administers the Faculty Activity and Achievement Reporting (FAAR) system to facilitate the Yuma faculty evaluation process.
• Provides administrative support to faculty and staff concerning accreditation and other student and college activities.

Supervision - 10%

• Supervises the Yuma Administrative/Faculty office staff.
• Manages staffing of the Administrative/Faculty office during business hours to serve students, community, and Yuma employees.
• Responsible for hiring and training of staff and the oversight and evaluation of their activities.

Searches (faculty, staff, and students) - 10%

• Administers faculty and staff searches for Yuma faculty and staff ensuring all proper documentation and compliance with state and university hiring policies and procedures and in support of the university affirmative action program.
• Coordinates Faculty Search Training for faculty searches including interview logistics and advises committee members on university procedures throughout the search.
• Maintains search files per the university Record Retention policy.

HR Liaison - 5%

• Serves as HR liaison for Yuma staff, responds to HR inquiries from staff and faculty and communicates university human resources policies to NAU employees.
• Serves as backup payroll approval for Yuma whenever supervisors are on leave.

NAU Yuma Representative/Marketing - 5%

• Represents NAU at Yuma community events and functions and serves on Yuma community committees as needed.
• Represents NAU at AWC events and serves on joint AWC/NAU.
• Serves as liaison between NAU Yuma, NAU Online, NAU Flagstaff departments, AWC, Imperial Valley College, and other universities/colleges.
• Coordinates creation of marketing material to promote the Yuma campus.

Campus Operations and Building Manager - 5%

• Manages campus operations at the NAU Yuma campus.
• Serves as primary contact for building maintenance and key requests.

Campus Events - 5%

• Coordinates and manages annual university events including Commencement, Honors Convocation, Teacher of the Year, Community Potluck, and NAU Yuma Alumni Holiday Party.
• Performs other duties as assigned.

Minimum Qualifications

• Bachelors degree.
• 2-4 years of relevant experience.
• 1-2 years of management or supervisory experience.
• Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

• Master's degree.
• 2-3 years' high-level administrative support.
• 3-5 years' management or supervisory experience.
• In-depth knowledge of NAU policies and procedures.
• Experience coordinating employee searches.
• Experience developing and running events.

Salary

Salary range begins at $58,882. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
