**Job Title:** Safety Administrative Assistant - Mesa, AZ

**Job Summary:**

The SAA serves as a support to the Safety Department, including all Site Safety Managers. The SAA assists the Safety Director in the design and implementation of Safety protocols, daily management of correspondence; help develop Safety policies and procedures, organize team meetings, help solve safety issues, and review important safety documents.

**Duties and responsibilities**

_Support Safety Department_

+ Provide support to all Site Safety Personnel (all local & remote locations).

+ Coordinate Safety Lunches (order food, reserve space, print materials as requested by the Safety Manager).

+ Provide support to employees (through articles, email, and flyers regarding Safety Department matters, schedule meetings, answer phone calls, etc. from direction of Sr. Safety Admin Assistant)

+ Revise/maintain forms (smartsheets, safety manuals etc. with the direction of Safety Director)

+ Report all Workers Compensation claims through the claim management system

+ Track and archive worker documentation (personal medical, Drs. Release, etc.)

+ Assist Sr. Safety Admin with MVR Updates, and release information (work with SAMBA system to ensure accurate database and release documents for continual MVR updates for all company drivers.)

+ Assist with Safety New Employee Orientation (ensure all new employees receive Safety Handbook, New Employee Orientation, company provided PPE, and instructions of job assignment.)

+ Attend Meetings (attend various company/job site specific meetings, take meeting minutes, and distribute accordingly)

+ Scan/archive PTP/Job hazard analysis data (work on digital databasing and utilizing current scanning options to maintain database of existing PTPs and JSAs; work to track and update paperless PTP options.)

+ Assemble job books (current inventory of SDS’s as well as all required information for job book requirements)

_Manage KPA data entry_

+ Reports and incidents (first aids, near misses, vehicle incidents, personal medicals, and informational reports including updating of reports, adding documentation from workers comp, investigations, photographs, etc.)

+ Employee data (employee data entry and updating of active/inactive employee status.)

+ Training data (training data, matrixes, and training library assignments.)

+ Audit and observation updates (update audit statues for corrective actions and completion of corrections.)

_Safety Department training_

+ Track and maintain training records (electronically maintain and archive Safety training records, make qualification cards, establish, and maintain digital training database.)

+ Update/send/scan/archive training sign-in sheets (scan/track hard copy training sign in information. Set up/track weekly safety meeting topics using GWP’s and digital sign in to comply with training requirements, and paperless directives.)

_Miscellaneous duties_

+ NECA IBEW employer rating reports (distribute/track/collect all employer rating reports)

+ Research safety equipment (as instructed by Safety Director for capability/feasibility)

+ Maintain driver qualification files for Arizona DOT Program

**Qualifications**

Qualifications include:

+ High School Diploma/GED is preferred

+ Strong Data entry and computer skills (Visio, Bluebeam, Acrobat, etc)

+ Proficient use of MS Office Suite (365 preferred)

+ Excellent written and verbal communication skills

+ Outstanding written and verbal communication skills

+ Excellent organizational and time-management skills

+ Good analytical skills

+ Ability to manage rapidly changing time critical needs

**Working conditions**

Office-based. Monday – Friday during normal business hours.

**Physical requirements**

The physical demands described here are representative of those that must be met by a SA to successfully perform the essential functions of this job.

The SAA is required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must be able to occasionally lift and/or move up to 20 pounds and rarely lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
